Can my newsletters be formatted to be consistent with my current website design and style?

You can tailor and design a template using the resources in Mailroom. By uploading your own images and logos, you can adapt a simple template. The Mailroom system has been designed to be used with little technical knowledge, so anyone will be able to craft an email template their business will be proud of.

Does email marketing involve spam?

Spam emails are a huge nuisance to everyone, and can quickly have negative repercussions for a company. Also highly illegal, with fines of up to $1.1 million dollars, it is very important to ensure the email marketing strategy you employ avoids being identified as spam.

Spam is 'unsolicited email' and is usually sent through the use of computerised algorithms to calculate millions of random email addresses.

To avoid your email marketing being labelled as spam, you need to ensure certain things.

Firstly, solicited email is not spam. If your customers agree to receive emails from your company as part of their registration or payment process in your site, you build up an effective mailing list of people who are willing to receive your information. It may be worth reminding your recipients of this in the body of your email. For example; "You are receiving this email because you requested to be kept up to date with our product launches and special offers."

Secondly, you need to include instructions at the bottom of your email to allow recipients to unsubscribe, should they decide to no longer receive your material. This is not optional, but is a legal requirement. Mailroom automatically adds this link for you.

It is very important to treat email marketing carefully and responsibly. By observing the above restrictions, your solicited email marketing campaign is assured of receiving a far more favourable response.

What happens if my email campaign is blocked as spam?

Sometimes, email campaigns can become blocked by the filters of certain internet service providers (ISPs) and this can land all campaigns originating from Mailroom on a 'spam' list. This is why we require all users of Mailroom to take every precaution to prevent their campaign from breaching spam legislation.


Should your campaign cause Mailroom to be added to a spam register, Netregistry will need to pay fees to remove ourselves and to prevent the similar failure of all other client campaigns. This can be costly, time consuming and - above all - inconvenient to all other email campaigns held-up or blocked during this period. Therefore, to cover us should we ever need to remove our campaigns from these 'blacklists', any client account that causes Mailroom to become blacklisted will be charged a flat rate of $1000 and suspended from the service. This fee is not negotiable and cannot be disputed. The ISP decision in all such cases is final and we are held to account even if you feel your campaign should not have been blocked.

How quickly can the system send out my emails ?

Large volumes of email can cause technical issues when sent at once. Also, some ISPs may identify the campaign as spam if they receive a very large number of emails from the same source within a short period. That is why Mailroom steadily sends out your campaign at a rate of 200 emails per hour.

This time-delay is important to plan into your campaign if you are announcing any time-sensitive offers. If you are sending out your campaign at 9am to announce a limited special on your website at 10am, only the first 200 recipients will receive the email in time.
