How to prevent your emails from being marked as spam

Spam emails are a huge nuisance to everyone, and can have negative repercussions for a business. Spam emails are also illegal, with fines of up to $1.1 million dollars for the proliferation of spam material. It's  important to ensure the email marketing strategy you employ avoids being identified as spam. Spam is 'unsolicited email' and is usually sent through the use of computerised algorithms to calculate millions of random email addresses. To avoid your email marketing being labelled as spam, you need to make sure you follow these two guidelines:

1. Solicited email is not spam: If your customers agree to receive emails from your company as part of their registration or payment process in your site, you build up an effective mailing list of people who are willing to receive your information. You should remind your recipients of this in the body of your email. For example; "You are receiving this email because you requested to be kept up to date with our product launches and special offers."

2. Allow your customer to unsubscribe: You need to include instructions at the bottom of your email on how to unsubscribe, should they decide they no longer want to receive your material. This is a legal requirement and must be visible in the body of your emails. 

All Mailroom default email templates have an unsubscribe link embedded in them for your use. It is very important to treat email marketing carefully and responsibly. By observing the above restrictions, your solicited email marketing campaign will be received far more favourably.

Mailroom spam check

Mailroom also includes a tool which scans the content of your email campaign and provides advice on what changes you should make to decrease the chances of your email being marked as spam. The tool is available on the editing page of each specific campaign. To access the spam checking tool, follow these instructions:

  1. Log into the Console
  2. Manage your domain
  3. On the next page, click [Mailroom] in the left column
  4. Then click [Email Campaigns]
  5. Select View Email Campaigns
  6. Locate the campaign you wish to check and click Edit
  7. On the next page, click [Next]
  8. Locate the Email Validation area and click [Check your email campaign for spam keywords]
 This will then open a document that will provide you with some information regarding what words or phrases you might want to modify to reduce your chances of being marked as spam.
