How to test your email campaign before sending

There are several methods for testing and previewing your email campaign using Mailroom, each of which is detailed below. You will need to log into Mailroom first.

Sending a preview

The instructions below explain how to send a preview of your email campaign to a specific email address to see how it looks within your email client.

  1. Select the Email Campaigns tab
  2. Click View Email Campaigns from the drop down menu
  3. Locate the email campaign to be previewed from the list provided and click the Edit button on the right hand side
  4. Click [Next]
  5. On the next page, scroll down to the heading Preview Your Email Campaign
  6. Type an email address to send the preview to and click [Preview your email campaign]

Note: In this method the custom field links will not work in the sent email, e.g. dynamically entered customer names into the newsletter will not work.

Sending a campaign to a test email account via filtering

A working test email address must be added to a contact list, such as your own personal address, in order to receive the test campaign. An email campaign is sent only to this email address This allows you to receive your test email exactly as intended. The formatting, custom fields and unsubscribe links will work correctly.

To create a test contact:

  1. Select the Contacts tab, then click Add a Contact
  2. Select the contact list to which the contact will be added. Click on the appropriate list and click [Next]
  3. Complete the appropriate fields when adding a temporary contact, ensuring that the test email address is correctly typed into the email address field
  4. Click Save

To send the campaign:

  1. Select the Email Campaigns tab, then click View Email Campaigns
  2. Locate the email campaign to be previewed from the list provided and click Send (right)
  3. Under the heading Who Do You Want to Send to?, select the Send an email to contacts who match my search criteria in the selected list(s) below option
  4. Under the Select a Contact List(s) heading, choose the contact list to which the test email address was added, then click [Next]
  5. Under the Filter by Basic Details heading, enter the email address you added to your contact list in the Email Address field and click [Next]
  6. In the following yellow text box the display will advise that This email campaign will be sent to approximately 1 contact. This contact should only be the test email contact
  7. Click [Next]
  8. Click Schedule my email campaign

Sending your email to yourself via a contact list segment

This option allows for the creation of a segment in your contact list to separate a test email address from the customer email address. An email campaign is sent only to one email address you filtered the send out to. This allows you to receive your test email exactly as intended. The formatting, custom fields and unsubscribe links will work correctly.

To create a test contact:

  1. Select the Contacts tab, then click Add a Contact
  2. Select the contact list to which the contact will be added. Click on the appropriate list and click [Next]
  3. Complete the appropriate fields when adding a temporary contact, ensuring that the test email address is correctly typed into the email address field
  4. Click Save

To send the campaign:

  1. Select the Contact Lists tab, then click View Segments
  2. Click [Create a Segment] button
  3. In the Segment Name field, type a name for your segment
  4. In the Segment Contacts From area, select the contact list to which the test email address was added
  5. Under the Segment Rules area, filter your email address out from the entire list by selecting: Email Address then Is then type in the email address in the last field. Click [Save]
  6. Select the Email Campaigns tab then click View Email Campaigns
  7. Locate the email campaign to be previewed from the list provided and click the Send action (right)
  8. Under the heading Who Do You Want to Send to?, select the Send an email to all contacts in the selected segment(s) below radio option
  9. Select the segment to which you'd like to send the Email Campaign
  10. Click [Next], then click [Next] again, then click [Schedule my email campaign]

Preview your email campaign in various email software

Various email software programs read and display email in different ways. This feature allows  you to view your email campaign in various email software programs or web mail pages such as Outlook, Gmail and Yahoo mail This option helps you to see any issues that might arise in other email software, allowing you to make changes to your campaign before sending.

  1. Select the Email Campaigns tab then click View Email Campaigns
  2. Locate the email campaign to be previewed from the list provided and click the Edit action (right)
  3. Click [Next] button
  4. Scroll to the Email Validation heading
  5. Click [View your email campaign in different email programs]
